Blue Light ADHD Coaching

I take your privacy seriously. This policy explains what personal information I collect, why, who I share it with, how long I keep it, and the rights you have. It is written in plain language, and if anything is unclear you can ask me.
1. Who I am
Blue Light ADHD Coaching is run by Annie Booth, a sole trader based in Isleworth, Greater London, UK. I am the “data controller” for the personal information described here, which means I decide how and why it is used.

2. What this policy covers
This policy applies to my website (www.bluelightadhdcoaching.com), enquiries and discovery calls, and my coaching services. My coaching is for adults aged 18 and over.
3. What information I collect and why
The table below sets out what I collect, why, the legal basis I rely on, and how long I keep it. I collect most of this directly from you. I do not buy or collect information about you from other sources.
I do not use your information for automated decision-making or profiling.
4. Health-related information
Information about your health, such as an ADHD diagnosis, medication or how ADHD affects you, is “special category” data and gets extra protection. I don’t need medical details to coach you, and you choose what you share. If you do share health-related information, I will only use it with your explicit consent, to tailor our coaching to you.
You can withdraw your consent at any time by emailing me. If you do, I will stop using that information going forward and delete it unless I have to keep it for a legal reason. Withdrawing doesn’t affect how I used the information before.
I am a coach, not a medical professional. I do not diagnose, treat or give medical advice, and coaching is not a substitute for medical or mental health care.
5. Confidentiality
What you tell me in coaching is confidential. I will not share it with your employer, police force or service, colleagues, family or anyone else, except in these situations:

you have asked me to, or agreed that I can;

I am legally required to, for example by a court order or a lawful request from the police or another authority;

I believe there is a serious risk of harm to you or to someone else. In that case I will share only what is necessary and, where it is safe to do so, I will talk to you first; or
-
I discuss my coaching work with a professional supervisor or mentor coach. I do this so I can keep improving, and I do it in a way that does not identify you.
I will only record our sessions, or use your information (even anonymised) as a case study for training or credentialing, with your separate written permission. You can say no without it affecting your coaching.
If your coaching is funded by an employer or through the government’s Access to Work scheme, we will agree in advance what, if anything, I report back, for example attendance and invoices only. I will not share the content of our sessions.
6. Who I share your information with
I do not sell your information and I do not share it for other organisations’ marketing. I use a small number of trusted service providers who handle information on my behalf and only on my instructions:

Wix, which hosts my website, contact forms and booking system;

Google Workspace and Gmail

Google Meet or Teams;

OneDrive and Gemini

payment provider, e.g. PayPal or your bank;

my professional insurer, only if needed in connection with a claim.
I may also share information where the law requires it, or to protect someone’s safety as described in section 5.
7. Transfers outside the UK
Some of my service providers, including Wix, may store or process information outside the UK. Where they do, I rely on UK-approved safeguards such as an adequacy decision or standard contractual clauses (the UK International Data Transfer Agreement or Addendum), so your information stays protected.
8. How long I keep your information
The table in section 3 shows how long I keep each type of information. When the time is up, I delete or anonymise it securely. I may keep information longer if I am legally required to, or if I need it to deal with a legal claim.
9. How I keep your information safe
I use password-protected and encrypted devices, strong unique passwords with two-factor authentication where available, and secure cloud services. I keep paper records to a minimum and store any I do have securely. Only I have access to your coaching records. No system is completely secure, but if there is a breach that is likely to put your rights at risk, I will tell you and the Information Commissioner’s Office (ICO) as the law requires.
10. Your rights
Under UK data protection law you have the right to:

ask for a copy of the personal information I hold about you;

ask me to correct anything that is inaccurate or incomplete;

ask me to delete your information, in some circumstances;

ask me to restrict how I use your information, in some circumstances;

object to me using your information where I rely on legitimate interests;

ask for your information in a portable format, where I use it under contract or consent;

withdraw your consent at any time, where I rely on consent (including for the newsletter, testimonials and health-related information).
To use any of these rights, email me. I may need to check your identity first. I will normally reply within one month and will not charge a fee unless a request is clearly excessive.
11. Cookies and website analytics
My website uses cookies. Essential cookies keep the site working. I only use non-essential cookies, such as analytics, if you agree through the cookie banner. You can change your mind at any time. For details, see my cookie policy: [link to cookie policy].
12. Marketing and my newsletter
I will only send you my newsletter or marketing emails if you have signed up or agreed to receive them. Every email includes an unsubscribe link, and you can also email me to be removed at any time. Joining the newsletter is separate from becoming a client, and signing up does not commit you to anything.
13. Links to other websites
My website may link to other sites. I am not responsible for their privacy practices, so please read their policies.
14. Complaints
If you are unhappy with how I have handled your information, please contact me first at annie@bluelightadhdcoaching.com and I will do my best to put it right. You also have the right to complain to the Information Commissioner’s Office:

15. Changes to this policy
I may update this policy from time to time. The date at the top shows when it was last changed. If I make significant changes, I will let you know, for example by email or a notice on my website.
